Pricing Terms

1. General Pricing

All prices shown on this website are exclusive of VAT unless otherwise stated. VAT will be charged at the prevailing rate where applicable.

All prices are intended as a guide and may vary depending on the scope of work, location, venue size, complexity, timescale, delivery format, and number of sites involved.

Any fees confirmed in a written proposal, quotation, or signed agreement will be honoured for the agreed scope of work.

2. Bespoke Quotations

Some services require a tailored quotation before work begins. This may apply to:

  • Multi-site operations
  • Hotel groups
  • International projects
  • Pre-opening support
  • Retained consultancy
  • Tailored training or workshop programmes
  • Large-scale operational turnaround projects
  • Speaking engagements outside standard formats

Where a bespoke quotation is provided, the written quotation takes precedence over standard website pricing.

3. Travel, Accommodation and Expenses

Unless otherwise stated in writing, travel, accommodation, and related project expenses are charged separately from consultancy or training fees.

For UK projects, travel may include:

  • Mileage at the published rate
  • Public transport at cost
  • Travel time where applicable
  • Accommodation where an overnight stay is required

For international assignments, travel expenses may include:

  • Flights
  • Accommodation
  • Local transport
  • Meals or daily subsistence where agreed

Any significant or exceptional travel costs will be discussed and approved in advance.

4. International Travel and Flight Basis

For international assignments, flight pricing is based on standard economy class fares.

Published international travel allowances are provided as a guide and are based on typical economy fare ranges. Final flight costs may vary depending on:

  • Destination
  • Airline availability
  • Seasonality
  • Routing
  • Booking lead time
  • Local transport requirements

Where actual travel costs exceed the standard allowance, client approval will be obtained before booking.

5. Booking Confirmation

A booking is confirmed only once it has been accepted in writing by both parties and, where required, any agreed deposit, advance payment, or purchase order has been received.

Alper Zan Consultancy reserves the right not to hold dates without written confirmation.

6. Payment Terms

Payment terms will be confirmed in the relevant quotation, invoice, or agreement.

Unless otherwise agreed in writing:

  • Invoices are payable within 7 days
  • Deposits may be required for larger projects, workshops, pre-openings, and international work
  • Ongoing retainers may be billed monthly in advance
  • International work may require pre-payment of approved travel costs

Work may be delayed or rescheduled where payment terms are not met.

7. Minimum Booking Requirements

Some services may be subject to minimum booking periods.

Unless otherwise agreed:

  • On-site consultancy may require a minimum half-day booking
  • Workshops and training sessions may be subject to minimum session lengths
  • Travel outside the local area may require a minimum charge

This ensures travel and preparation time are properly accounted for.

8. Cancellations and Rescheduling

Cancellations and rescheduling requests must be made in writing.

Unless otherwise agreed, the following terms apply:

  • More than 7 days' notice: no cancellation fee
  • 3 to 7 days' notice: up to 50% of the agreed fee may be charged
  • Less than 72 hours' notice: up to 100% of the agreed fee may be charged
  • Any non-refundable travel or accommodation costs already incurred will remain payable

Where possible, reasonable efforts will be made to rearrange the booking to a mutually suitable alternative date.

9. Workshops, Training and Group Sessions

Workshop and training pricing is based on the agreed format, duration, number of attendees, and delivery method.

Additional charges may apply where the client requests:

  • Extended session times
  • Additional preparation
  • Extra follow-up support
  • Repeat delivery across multiple sites
  • Additional travel time
  • Evening or weekend delivery

Any such charges will be agreed in advance.

10. Retainers and Ongoing Support

Retainer packages are designed for ongoing advisory and support services over an agreed period.

Unused retainer hours do not automatically roll over unless expressly agreed in writing.

Where the required support exceeds the agreed retainer scope, additional time may be charged at the relevant rate or quoted separately.

11. Pre-Opening and Project-Based Work

Pre-opening, launch, turnaround, or project-based pricing depends on the agreed scope and may include a combination of:

  • Planning time
  • Site visits
  • Training
  • Operational setup
  • Leadership support
  • Launch support
  • Post-opening review

Quoted time ranges and project bands are indicative and may vary depending on operational complexity, staffing needs, and project timescale.

12. Speaking Engagements and Media Appearances

Keynote speaking, panels, podcast appearances, and media contributions may be offered either free of charge or at a quoted fee, depending on the event format, preparation required, audience size, location, and travel commitment.

Where travel or preparation time is involved, additional charges may apply.

13. Website Pricing Accuracy

While every effort is made to keep pricing information accurate and up to date, Alper Zan Consultancy reserves the right to amend website pricing, packages, and service descriptions at any time without prior notice.

Any pricing already confirmed in writing for an agreed booking will be honoured.
